Your method of bookkeeping, etc. sounds like mine before I purchased a program developed by a piano teacher, turned computer man.  It is called “A tempo” and you can read about it at www.atemposoftware.com   I have used this program for several years and cannot imagine business life without it.  
It does all these things, plus many I haven’t even touched:
            Keeps complete records of all students including the typical name, DOB, etc as well as which class they are currently enrolled in and which classes they have completed.  It can also keep track of what events they have performed in and which repertoire they have used.  Pictures can even be stored with their registraions.
            When you register them you can set up billing.  The program will print invoices for you.  When you receive a payment, you simply go to the student’s records and record the payment.  The program will even make a deposit slip of the payments you have received.
            Class lists can be made and printed for attendance or contacting students.
            Birthday lists can be made
            Letters to parents of individual classes can be made, each with the name of the individual on the letter.
            It is simple to create labels for mailing
            Find all students with balances due
            Etc. etc. etc.
 
I am not a computer whiz, but with careful attention to the directions on setting things up, I find it user-friendly.  As with any new program, it takes a little while to figure it all out.  Dennis, the owner and tech contact is very prompt in helping you – usually within a day.
 
This investment has been worth every bit of effort put into learning it.  I use it every day that I work.  I have a Musikgarten Studio and I direct the community music school for ... [the college].  At the college I manage around 15 teachers and all their students, with financial information going to the college business office.  I would not do the job without this program.  Before discovering A Tempo I had worked with the computer IT at the college one complete summer – many hours for me and them.  They worked out an Access program for me which I used for a couple of years, but abandoned it when I saw A Tempo
 
This is a lengthy reply, but wanted you to hear about this.  (I don’t even get a “kick-back” for my advertising.  I’m just convinced!!)

Thanks for taking time to show me again how to enter student's loaned items. I do loan Halloween music to students and have been using that feature this past week. I should easily be able to know when they haven't returned the music now. It will be a great help to me. Now, I have to put in the student's performances.
